Creating total reward statements employees can understand

A total reward statement brings together the main elements of an employee’s reward package in one place. It can help explain compensation, benefits and the wider proposition, but its value depends on accurate data and clear definitions. A large headline figure is not useful if employees cannot see what it includes.

Agree what the statement will show

Distinguish fixed salary, variable pay, employer-funded benefits and non-financial elements. Label whether an amount is paid, target, estimated or an employer cost. Avoid presenting contingent incentives as guaranteed earnings or adding overlapping values twice.

Reconcile data before designing the layout

Confirm the reporting period, employee population and data owner for each component. Check eligibility, part-year service and changes in working hours where relevant. Test a representative sample against payroll and benefit records, with a process for resolving discrepancies before individual statements are issued.

Should every benefit have a monetary value?

No. Some benefits are better explained through their purpose and eligibility than an artificial valuation. Where a value is used, state the basis and avoid implying that employer cost is necessarily the same as personal value or cash available to the employee.

How should statements be delivered?

Use an appropriately secure channel and provide accessible explanations, a contact route for corrections and manager briefing where needed. Review common questions after launch to improve future statements. We connect statement design with total reward, benefits strategy and reward communication, keeping the emphasis on understanding rather than promotional totals.
