How Reward Associates handles personal information submitted through this website.
Last updated: 27 August 2026
Who we are
Reward Associates is an independent reward, organisation and workforce advisory consultancy. Reward Associates is the controller of personal information collected through this website and through initial business enquiries.
Information we collect
When you contact us, we may receive your name, organisation, role, business email address, telephone number and the content of your enquiry. We may also receive ordinary technical information needed to operate and secure the website, such as IP address, browser type and security logs.
Please do not send confidential employee data, special-category information or other sensitive personal information through the initial enquiry form.
How we use information
We use information to respond to enquiries, discuss and provide requested services, manage professional relationships, administer and secure the website, prevent misuse and meet legal, regulatory or professional responsibilities.
Lawful bases
Depending on the circumstances, we process information because it is necessary to take steps you request before entering a contract, to perform a contract, to comply with a legal obligation, or for our legitimate interests in responding to business enquiries and operating a secure consultancy website. Where consent is required, it may be withdrawn at any time without affecting earlier processing.
Sharing information
We may use reputable hosting, website, email, form, backup and professional-service providers where necessary. We may also disclose information where required by law or to establish, exercise or defend legal claims. We do not sell personal information.
International processing
Some service providers may process information outside the United Kingdom. Where this occurs, we will use an appropriate lawful transfer mechanism and proportionate safeguards.
Retention
We keep enquiry information only for as long as needed for the purposes described above. Enquiries that do not lead to an engagement will normally be deleted or anonymised within 24 months of the last meaningful contact, unless a longer period is reasonably needed for legal, security or record-keeping purposes. Client and financial records may be retained for longer where required by law or contract.
Your rights
Depending on the circumstances, you may have rights to request access to your personal information, correction, erasure, restriction, portability or to object to processing. Rights are not absolute and exemptions may apply.
Contact and complaints
To ask a privacy question or exercise a right, use the Contact page and state that your enquiry concerns privacy. You may also complain to the UK Information Commissioner’s Office. We encourage you to contact us first so that we can try to resolve the issue.
Changes to this notice
We may update this notice when our website, services or legal obligations change. The latest version will be published on this page.
